How Pristine Handlers Limited handles personal information, including documents found during a clearance.
Draft for review. This notice reflects how we work, but it has not been reviewed by a solicitor. Have it checked before you rely on it.
Who we are
Pristine Handlers Limited, Unit 5 Town Quay Wharf, Abbey Road, Barking, London IG11 7BZ, is the data controller for personal information collected through this website and in the course of our work. Contact us at info@pristinehandlers.co.uk.
What we collect from this website
When you use the estimate tool and send it to yourself, the details you type — name, email address, telephone number, property postcode and any notes — are used to answer your enquiry. The estimate itself is composed in your own email application; we receive it when you send it.
We do not sell your details, we do not pass them to third parties for marketing, and we do not add you to a mailing list without you asking.
Documents and property found during a clearance
This is the part that matters most in our line of work. During a probate or estate clearance we routinely encounter documents containing personal information about the deceased and about living people: bank statements, medical letters, correspondence, photographs and identity documents.
- Documents are boxed, labelled and handed to the executor, the next of kin or the instructing solicitor. We do not retain them.
- We do not copy, scan, photograph or transcribe the contents of documents beyond what is needed to sort them into categories.
- Where documents are to be destroyed on your instruction, they go to a confidential waste stream, not to general waste.
- Our crews are instructed not to discuss the contents of a property with anyone outside the job.
Job photographs may incidentally show personal effects. They are used for the estate file and, where we have permission, for marketing. We will not use photographs of an identifiable property or its contents publicly without the instructing party's agreement.
Lawful basis
We process enquiry details on the basis of taking steps at your request before entering into a contract, and job records on the basis of performing that contract and complying with our legal obligations. Waste transfer notes are retained because environmental law requires it.
How long we keep it
Enquiries that do not become jobs are deleted within twelve months. Job records, invoices and waste documentation are kept for the periods required by tax and environmental legislation, currently six years and two years respectively.
Your rights
You may ask for a copy of the personal information we hold about you, ask us to correct it, ask us to delete it where we are not required to keep it, or object to how we are using it. Write to info@pristinehandlers.co.uk. If you are not satisfied with our response you can complain to the Information Commissioner's Office at ico.org.uk.
